Order Management Representative
Our client is seeking a detail-oriented and experienced Order Management Representative to support the full quote-to-cash process. This individual will manage customer orders from initiation through fulfillment, ensuring accuracy, compliance, and timely delivery. The ideal candidate is a proactive communicator who thrives in a fast-paced environment and excels at building strong partnerships across internal teams and external stakeholders.
This role is a hybrid model in Westminster, Colorado.
Order Management Representative Responsibilities
- Accurately process complex customer orders received through multiple channels while maintaining high standards of data integrity and compliance.
- Support sales teams with advanced quote management, ensuring accuracy prior to order creation and assisting with post-signature processing.
- Partner with finance, logistics, customer support, and compliance teams to drive a seamless order fulfillment process.
- Track order progress, anticipate potential delays, and communicate proactively with internal partners and customers to ensure on-time delivery.
- Serve as a key liaison for high-value or complex contracts involving major accounts, partners, or public sector entities.
- Collaborate with distribution centers and product management teams to confirm inventory levels and address shortages or fulfillment constraints.
- Review and validate pricing, part numbers, and delivery information before finalizing orders; promptly correct discrepancies.
- Maintain clear and thorough documentation of all order modifications and approvals in accordance with policy.
- Uphold compliance with trade regulations, revenue recognition guidelines, and internal audit requirements.
- Identify process or system inefficiencies and escalate issues as necessary for resolution.
- Conduct periodic quality audits of processed orders to ensure accuracy and compliance.
- Support global shipping, import/export, and customer documentation requirements as needed.
Order Management Representative Qualifications
- High school diploma required; associate or bachelor’s degree in business administration, supply chain, or a related field preferred.
- 2–5 years of experience in order administration, sales operations, or a similar customer support role.
- Exceptional attention to detail and organizational skills with the ability to manage multiple priorities under tight deadlines.
- Strong working knowledge of ERP and CRM platforms; experience with Oracle and Salesforce highly preferred.
- Proficiency with Microsoft Excel and Google Workspace tools (Gmail, Sheets, Docs).
- Demonstrated understanding of trade compliance, revenue recognition, and import/export processes.
- Excellent written and verbal communication skills with the ability to build cross-functional relationships.
- Proven ability to identify and resolve issues with minimal supervision.
- Familiarity with global tax/VAT processes and international shipping documentation preferred.
- Multilingual ability a plus, with regional language needs varying by business unit.
- Adaptability and willingness to learn evolving business systems and operational processes.
Compensation: $20-$22/hr. (DOE)
