Order Administration Representative
Our client is seeking an experienced Order Administration Representative to support the end-to-end order management process within a dynamic and global business environment. This role requires exceptional attention to detail, strong communication, and the ability to navigate multiple systems to ensure accurate and efficient order processing. The ideal candidate will serve as a critical liaison between sales, operations, and finance teams, ensuring seamless coordination and compliance throughout the quote-to-cash cycle.
This role is a hybrid model in Dayton, Ohio.
Order Administration Representative Responsibilities
- Accurately process customer orders from multiple channels, ensuring all details—including pricing, product codes, and delivery information—are correct and compliant with internal policies.
- Partner with sales teams to prepare and validate quotes, converting approved quotes into orders within ERP and CRM systems.
- Track and manage order status to ensure timely fulfillment, proactively communicating with customers and internal teams about any potential delays or changes.
- Serve as a key contact for internal and external stakeholders, including sales managers, operations, finance, logistics, and customer support teams.
- Support compliance with trade regulations, revenue recognition policies, and company standards throughout all order-related activities.
- Collaborate with global distribution centers and product management teams to maintain visibility into inventory and availability.
- Resolve order discrepancies, data issues, and system errors by coordinating with cross-functional teams.
- Maintain accurate documentation and approvals related to orders, ensuring adherence to company policies.
- Contribute to process improvement by identifying inefficiencies or recurring issues and recommending enhancements.
- Provide administrative support for shipping, import/export documentation, and other order-related logistics as needed.
Order Administration Representative Qualifications
- High school diploma required; associate’s or bachelor’s degree in business administration, supply chain, or a related field preferred.
- 2–5 years of experience in order administration, sales operations, or a related role.
- Strong attention to detail and accuracy in data entry, documentation, and compliance tracking.
- Demonstrated proficiency with Microsoft Excel and experience using ERP and CRM systems (such as Oracle or Salesforce).
- Excellent communication and interpersonal skills to interact effectively with internal teams and external customers.
- Proven ability to prioritize multiple tasks in a fast-paced environment while maintaining high-quality standards.
- Solid understanding of order-to-cash, import/export, and trade compliance concepts.
- Analytical and problem-solving skills to identify, investigate, and resolve order-related challenges.
- Experience supporting global operations, including familiarity with VAT/tax or export procedures, is a plus.
- Adaptable, proactive, and capable of serving as a reliable point of contact for cross-functional stakeholders.
- Multi-lingual communication skills are advantageous for supporting global regions.
