Executive Administrative Assistant
Our client is seeking a highly organized and proactive Executive Administrative Assistant to provide seamless calendar, meeting, and project support to senior leadership. The ideal candidate thrives in fast-paced environments, anticipates needs before they arise, and demonstrates exceptional professionalism and communication skills. This role requires sound judgment, strong relationship-building, and a commitment to maintaining precision, confidentiality, and efficiency across all executive operations.
This role is onsite in Boston, Massachusetts.
Executive Administrative Assistant Responsibilities
- Manage complex calendars, meetings, and travel logistics while ensuring alignment with executive preferences and priorities.
- Anticipate executive needs by preparing materials, monitoring deadlines, and proactively resolving scheduling conflicts.
- Coordinate interviews, group meetings, and cross-departmental communications with professionalism and discretion.
- Track and follow up on meeting actions, project tasks, and reimbursements to ensure timely completion and accuracy.
- Build collaborative relationships with other executive assistants and stakeholders to streamline operations and communication.
Executive Administrative Assistant Qualifications
- Bachelor’s degree or equivalent experience, with 3–5 years in executive or senior administrative support roles.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Access) and calendar tools (Outlook, Teams, Zoom).
- Exceptional organizational, multitasking, and prioritization abilities under tight deadlines.
- Strong written and verbal communication skills with polished professionalism and diplomacy.
- Demonstrated initiative, critical thinking, and the ability to work independently with minimal supervision.
